Staff Guide for
Deliveries/collections at Lucy's
Start the shift
● Arrival Time: If your shift starts at 7:00 AM, arrive by 6:45 AM for the pre-shift briefing. (if your shift starts earlier you will be advised prior via the deputy app)
● Ensure you clock in for the day at the depot kiosk. Start of the shift.
● Team Briefing (6:45 AM - 7:00 AM)
The day's event schedule, priorities, and individual responsibilities.
Health and safety requirements, including any specific client requirements or unique setups for the day's events.
Ensure you have the correct uniform on for the day.
Participate in a toolbox meeting.
Loading and Preparing for Departure (If picking and packing in same day please refer to the picking/packing guidelines)
● Check and Secure Load:
Confirm all items on the Load list displayed on the TV and you MUST sign off once picking and packing are complete.
Ensure the load is safe, secure, and protected to prevent damage during transit. DOUBLE CHECK
Confirm you have a full cleaning kit, all necessary drills/screws, and any touch-up kits.
Notify management immediately if there are any issues with the order.
Conduct a quick vehicle safety check.
Collect a fuel card from the manager.
● Ready for Departure:
Collect the tablet for the day to access the delivery list through the preloaded link and the Lucy’s WhatsApp group.
Notify the Operations Manager of your departure from the depot. This triggers the Ops Manager to inform the client with an ETA and driver's name.
Maintain communication with the Ops Manager, especially if there are any issues or delays on the road.
Upon Arrival Onsite:
● Client Interaction:
Introduce yourself to the client and ask where they would like their order delivered or set up.
Ensure that any items for future events are kept under cover and out of the weather.
● Delivery Check:
Conduct a thorough check of the delivered items for cleanliness and quality.
If any damage has occurred in transit, notify both the client and your manager immediately.
Open the delivery note on the tablet and have the client sign off to confirm satisfaction with the delivery.
Confirm collection details with the client as listed on the delivery note.
Take clear photos of the delivery from multiple angles to document the condition and placement and upload to Lucy's WhatApp group on the tablet with the client's name as the title.
Departing the Site:
● Departure Protocol:
Ensure no items or rubbish are left behind.
Notify the Logistics Manager of your departure and provide an ETA back to the depot. This is crucial if you have another delivery scheduled afterward.
Maintain clear and timely communication throughout the day to ensure smooth operations.
End of Day Procedures:
● Return to Depot:
Unload any items from the truck that need to be stored or returned.
Clean out any rubbish from the cab and ensure the vehicle is left in a clean state.
Park the vehicle in its designated spot, ensuring it is fully locked with no valuables left inside.
Return the fuel card and tablet to their respective locations and charge the tablet for the next shift.
Inform management of any urgent issues that need attention.
Clock out from the kiosk and add any relevant notes from your shift.
If you are the last person to leave, ensure all lights are off and the building is fully secured and locked.
